1. Our approach to AI
A3 Communications believes AI has fantastic potential to enhance communication, but it is not something that can replace human expertise, decision-making or creativity. We use AI occasionally to enhance efficiency and insight, not as the foundation of our work.
We are publishing this AI policy to provide transparency for our clients and partners, to set clear expectations around how we use AI, and to show our commitment to responsible, ethical and accountable practices.
2. When we use AI
We use AI selectively and only where it adds value. Typical applications include:
- Media monitoring and trend analysis
- Social listening and sentiment analysis
- Summarising discussions or reports
- Measurement calculations and performance reporting
- Brainstorming campaign ideas (not final creative)
- Drafting supporting content (e.g. outlines or first drafts of content for internal reference)
- Royalty-free image creation where client assets are unavailable
AI does not design campaigns, determine strategy or create final outputs. Our consultants lead every project, with AI used selectively to streamline tasks and provide insights. It supports our work but does not define it.
3. Protecting client data
We take client confidentiality and data protection seriously.
- We only use AI tools and accounts whose providers confirm that client data is not used to train or improve AI models
- Any client data processed via third-party AI tools is anonymised where possible and handled in line with our privacy policy
- We comply with relevant data protection laws including UK GDPR
4. Our ethical principles
Our AI use is guided by:
- Human oversight and editorial control. Humans design, direct and approve all our content
- Accuracy and reliability. All AI outputs are fact-checked and verified
- Respect for intellectual property. We clarify ownership of AI-generated content with clients and only use AI-created images where appropriate and rights-cleared
- No plagiarism or misinformation. Content generated must be original and accurate
- Avoiding bias and discrimination. Tools are chosen and monitored to minimise bias
- Data protection and confidentiality is always a priority
5. The tools we trust
We use third-party AI platforms (e.g. ChatGPT, Grammarly) that meet strict data protection and ethical criteria. Tools are reviewed regularly for compliance with data protection regulations.
6. People first
AI does not publish, approve, or deliver work. All content is created, reviewed and approved by our team before it is shared externally. Strategy, messaging and final deliverables are always human-led.
7. Ownership and rights
We believe it is important that the ownership of any materials created with the help of AI tools is clear and transparent.
- Final outputs: Any deliverables created with the support of AI (e.g. draft text, images) will be owned by A3 Communications or the client, as agreed in our contract
- Tool compliance: We only use AI tools that permit commercial use of their outputs and do not impose restrictions that would limit our clients’ rights
- Respect for intellectual property: We take care to ensure that AI-generated content does not infringe copyright, trademarks, or other third-party rights
- Evolving standards: As AI law and best practice develop, we will review and update our approach to protect our clients’ interests
8. Updates to the policy
This policy will evolve as AI technology and regulations develop. We will review and update it regularly to reflect best practices.
